Can I stop syncing orders if products are missing from QuickBooks?

You can instruct Connex to NOT create new items in QuickBooks, if there is no matching product.


Connex is programmed to create a new inventory item in QuickBooks if the product does not exist or there is a mismatch between the product SKU in your shopping cart/shipping platform when an order syncs to QuickBooks.

How do I set up this feature?

Here are the steps:

  1. Navigate to the Connex dashboard.
  2. Select the Settings button next to the connection you want to edit.2022-10-25_10-15-47
  3. Select Product Matching from the left hand menu.
  4. In the drop-down field Missing Product Action select 'Flag order as error and map':


The product mapping tool is a short hand way to use our rules engine

How do I use this tool?

You can access the Product Mapping Tool from the Connex Dashboard in the Map Product Window or from the Left Navigation Area:

  1. Login to Connex.
  2. Scroll down to map products.
  3. Click the edit button next to the product you wish to map.
  4. Enter the matching product in QuickBooks. 

I use QuickBooks Desktop. Can I still use the auto-complete function when mapping products?

Yes, you must upload a spreadsheet of your QuickBooks products into Connex:

  1. In your QuickBooks, go to lists and click item list.
  2. Select Excel at the bottom of the item list page.
  3. Export all of the items to a spreadsheet.
  4. Open the newly created spreadsheet.
  5. Go to file and select save as.
  6. Save the file type as .CSV (comma separated values).
  7. Navigate to the Upload Products page, located under the Products heading on the left hand navigation bar.
  8. Choose Select Files and upload the .CSV you exported from QuickBooks.
  9. Go to the Missing Prodcut Mapping page and select edit on one of the products.
  10. Enter a QuickBooks item to map and the type of item to match. If you are mapping shipping methods, choose shipping method from the item type drop down. If you are mapping SKUs, choose product.

How do I edit product mappings?

The product mapping tool is shorthand for our rules engine, which maps fields. Once you resync the sales, the mappings are export to rules and cleared from the product mapping area. Our mapping tool creates rules called map SKU. To edit a mapping, follow these steps:

  1. Navigate to the Connex dashboard.
  2. Select Rules Engine from the left-hand navigation bar.
  3. Select My Rules.
  4. In the name column of the rules grid, filter by the SKU:
  5. Select Edit on the rule with the SKU you wish to alter mapping for.
  6. Select Edit in the grid and change the initial value if you wish the SKU to be mapped from a different initial product.
  7. Edit the value under What should the value be if you would like to edit the SKU the product is mapped to.
