Getting Started: Sync Your Orders

How to pair a selling channel and start syncing orders

How do I pair a channel?

Here are the steps:

  1. Login to Connex.
  2. Go to connections on the top right.
  3. Click on a selling channel.
  4. Follow the on-screen instructions.

How do I download orders?

Once you add a selling channel, Connex will download the last 90 days of sales. Please allow up to 15 - 30 minutes for the process to complete.

Does your tool auto sync?

Yes, Connex will auto sync your sales. Click your name on the top right and click sync activity. Under error logs, filter by info to see sync results.

What do the settings do under the orders area?

Here is a list of settings and their functions:

Setting Name Function
Bill of Materials Added as Line Items In Connex, go to products > bundles. Add bundles and sub products. If we receive an order, Connex will sync the sub products instead of the bundled SKU. This setting is ideal, if your bundles are not actual products. If you use grouped items in QuickBooks, enable this setting.
Last Download Date Start date of download. Like give me all sales from October 16 - October 18. Last download date would be October 16.
Last Download Date End End date of download. Like give me all sales from October 16 - October 18. Last download date end would be October 18.
Summary Sale Transactions Used to summarize sales. Set to store name by default, which creates one summary sale per day. You can group orders by month or day. If you use ShipStation, we recommend store name.

 

Does Connex sync orders individually or summarize them?

You can do both, but out of box Connex syncs a daily summary of sales. Our tool pulls yesterday's sales at 5:45 AM UTC time. Each summary sale contains a list of order numbers contained. If you resync yesterday again, Connex will catch the duplicate. You can view a list of orders under the orders dashboard > all orders.

You can turn on the summary sale by going to connections > order setting and changing summary transaction to store name or order date month. For the exception of ShipStation, the field store name equals the name of the selling channel. Therefore, Shopify should have one daily summary.

If you sync summary sales, Connex will show a single order with all the line items from all the sales. Connex groups orders by their SKU. This means if you have fifty orders for widget A, then you will have one order with a quantity of fifty. Here is a sample summary sale:

Do I need individual sales?

You are billed according to your yearly allotment. If you download fifty sales and Connex makes a summary, then you are billed for fifty sales.

  1. Individual sales will take up more room in our database. Downloading charts and building reports is more time consuming, since Connex would have more data to download.
  2. If you need reports of sales by customer name or U.S. state, then you would need individual sales.
  3. Since the sync runs daily, your reports are out of sync for 24 hours. For a future release, we will allow the sync to run faster. Our tool will re-summarize the orders and delete the existing summary. It would be possible to re-summarize orders at a shorter interval, so your reports are up to date.
  4. If you are using Connex to sync stock changes back to your site and you need an inventory sync ASAP, we recommend having Connex re-summarize the sales.

How do I run a manual sync and pull in historical sales?

If you want to run a manual sync, follow these steps:

  1. Login to Connex.
  2. Click connections.
  3. Click the selling channel.
  4. Click order settings.
  5. Adjust the sync dates. You can adjust the dates or use current week, month, last month or last quarter. You can download orders in batches of four months.
  6. If you are syncing a daily summary, then Connex will sync a daily summary for each day in the date range. If your date range was July 1st - July 7th, then Connex would sync seven summary sales.
  7. Click save changes.
